A mid-sized trader may receive hundreds of purchase bills a month — PDFs on email, photos on WhatsApp and paper copies from the godown. Each must be entered with vendor name, invoice number, date, line items and totals. It is repetitive work where small typing mistakes create big reconciliation headaches later.
What document AI does
Document AI combines OCR (reading the text) with AI that understands layout and meaning. It can pick out:
- Supplier name and address
- Invoice number and date
- Item descriptions, quantities and rates
- Subtotal, charges and grand total
Validation is the important part
Extraction alone is not enough. A good system also checks:
- That the supplier exists in your vendor master
- That line totals add up to the invoice total
- Duplicate invoice numbers from the same supplier
- Rates that differ sharply from the last purchase
Anything that fails a check goes to a review queue instead of straight into Tally.
Getting data into Tally
Once approved, entries can be pushed into TallyPrime as purchase vouchers using Tally's XML interface or a connector. The accountant still reviews and posts, but no longer types.
Collecting documents in one place
Set up a single email address and a WhatsApp number for vendor bills. Automation collects the attachments, names them sensibly and feeds them into the pipeline.
FAQs
Can it read scanned or photographed bills?
Yes, if the image is reasonably clear. Accuracy is tested on a sample of your actual bills first.
Does this replace the accountant?
No. It removes typing so the accountant can focus on review and reconciliation.
Can it flag price changes from suppliers?
Yes. Comparing each bill with previous purchases highlights unusual rate changes for review.
